There are many jobs that need to be done to make DASC go. It’s time for a new batch of volunteers to step up and take on the responsibilities of running this great organization that benefits so many in the So. Cal. dressage community. Without participation of volunteers, DASC will not be able to continue. This is a serious call to the membership for help. The following jobs are just *some* of the critical tasks that must be completed to keep this going.
All positions are expected to be maintained for a minimum of a two year term, which is renewable at the end of the term if desired.
Position: Membership Administrator
Duties:
- checks office email each day for related correspondence
- responds to inquiries regarding membership and/or payments
- picks up mail twice a week
- inputs all new and renewing memberships into the DASC database
- runs monthly member report and sends roster to USDF
Position: Mail Manager
- Checks office email each day
- Responds to all non-membership related inquiries
- Files completed issues in appropriate folders
- Forwards e-mail to the appropriate person
Position: Volunteer Coordinator
- Maintains VIP (Incentive Program) data and promotes program
- Recruits and maintains database for Volunteers for DASC events
- Manages and trains volunteers at DASC events
Position: Sponsorship Coordinator
- Campaigns and secures sponsorships (cash, service, goods)
- Coordinates online and print recognition for sponsors and vendors
- Corresponds with existing and potential sponsors throughout year
- Manages all aspects of Silent Auction and raffle events
Financial Manager/Bookkeeper
- Mantains and services all financial accounts for DASC
- Inputs all payments to database and does bank deposits/reconciliations
- Handles accounts payable/accounts receivable and tax facilitation
- Must have basic accounting and MS Excel experience. QuickBooks is helpful.
Position: Awards Coordinator
- Keeps accurate inventory of ribbons on hand – both Championship show and Year End Awards
- Places orders for ribbons and trophies for all DASC award events
- Receives ribbon orders and verifies for accuracy – resolves any problems with vendor
- Rank, order and inventory awards for Breed program (halter plates)
- Acquire frames and photographs for Year End Performance Awards
- Receives ranking and produces labels, and affixes labels to the respective Year End Awards
- Transports all ribbons, trophies, and championship awards from storage to the event
- Organizes/displays all ribbons, trophies and awards at each event
- Gets volunteers to assist with distribution of ribbons, trophies and awards at each event
- After events, coordinator does inventory and packing of all remaining awards, trophies, and ribbons
- Follows up with competitors who did not get their ribbons/trophies/awards to see if they need to be mailed
- Facilitate the packing, prepping and mailing of all awards
- Orders engraving for the sponsored High Point Awards, pick up and distribute to winners (at awards dinner or individually)
- Brings ideas for new awards to the Board for discussion and approval
Position: Data Manager
- Maintains accurate records in the DASC database
- Updates records as needed for changes of status, address, e-mail, contact phone, etc.
- Updates records as needed for breed registry information and other horse changes.
- Runs member reports as needed for USDF, Newsletter committee, and e-mail campaigns
- Receives data files from show managers – verify for accuracy and completeness
- Reformat data files from show managers if necessary to match USEF template
- Sort and organize all show data files into a master file for show/awards purposes
- Verify validity of scores based on member’s join/renewal date and horse information using individual records in USDF database.
- Produces ranking of horse/riders for Year End Awards and Breed Awards program
- Responds to inquiries and contested results from members, resolves issues as they come up
Position: Web Content Administrator
- Maintains the DASC website – fresh content, security, usability
- Provides current content for main newsfeed
- Updates sponsors presence as needed
- Uploads necessary documents and newsletters
- Creates documents and links to information for members
- Edits and posts photos for the gallery, newsfeed, and other graphic content
- Updates show calendar w/ USEF/USDF shows & links to show premium/information (2017)
